Studio Policies
This Client Agreement (“Agreement”) outlines the policies, procedures, and expectations for all clients participating in classes, private sessions, or other services offered by Everyday Pilates, LLC (“Studio,” “we,” “us,” or “our”). By booking or attending a session, you agree to the terms below.
1. Scheduling & Reservations
- All classes and sessions must be booked in advance through our scheduling system.
- Walk-ins are not allowed.
- The Studio reserves the right to cancel or modify the schedule, instructors, or class formats as needed.
2. Cancellation & No-Show Policy
-
Group Classes: Cancellations must be made at least 18 hours prior to the scheduled class time or you will forfeit a credit in your existing package/membership. If you purchased a single class, you will be charged the full class fee. If in an unlimited package, you will incur a $10 fee. If you cancel before the 18 hours, you will be refunded the amount to a credit on your account.
-
Private / Semi-Private Sessions: Cancellations must be made at least 18 hours in advance. Late cancellations or no-shows may be charged half the session rate. If you cancel before the 18 hours, you will be refunded the amount to a credit on your account.
-
No-Shows: Failure to attend a booked session will result in forfeiture of your package/membership credit or the full session fee. If in an unlimited package, you will incur a $10 fee.
- The Studio may also cancel classes due to instructor illness, emergency, weather or other. We will do our best to give all clients the same 18 hour notice of changes. No fees will be charged for canceled classes.
- The studio reserves the right to make exceptions to the attendance rules for satisfactorily-documented emergencies.
- If you continue to no-show or late cancel, you risk being blocked from booking a future class.
3. Late Arrival Policy
- Clients may arrive up to 15 minutes late for a class at the instructor’s discretion. If you are admitted late, please silently join in with the rest of the group.
- Late arrivals will not receive time extensions or refunds.
- If you arrive more than 15 minutes late, your spot is forfeited and the no-show policy applies.
4. Attendance & Participation
- Clients are expected to follow instructor guidance at all times, although a client can decline to participate in any activity the Client believes they are unable to safely perform. Always modify yourself or ask for modification if needed.
- Please inform your instructor of any injuries, medical conditions, pregnancy, or physical limitations prior to class. We will do our best to ask prior to class, but with a five-minute change between classes, it is on you to inform your instructor.
- The Studio reserves the right to refuse participation if a client’s condition appears unsafe for movement.
5. Dress Code & Personal Belongings
- Appropriate Pilates attire is required. This includes fitted athletic clothing that allows instructors to observe alignment and movement. Please avoid wearing clothing with zippers, buckles, jewels or other sharp objects that can damage our equipment.
- Grip socks are required for safety and hygiene. You are welcome to purchase them at the Studio or bring your own.
- Jewelry should be minimal.
- Personal belongings should be stored in designated areas. The Studio is not responsible for lost or stolen items.
6. Cleanliness & End-of-Class Responsibilities
- Clients are expected to assist with basic cleanup at the end of class, including:
- Wiping down equipment used during class
- Returning props (rings, blocks, straps, etc.) to designated storage areas
- Please exit the studio promptly after class to allow for transitions between sessions.
7. Studio Etiquette
- Arrive on time and prepared for class. Our classes are 55 minutes. If you are earlier than 5 minutes prior to your class time, please wait in your car as to not disrupt the end of the previous class.
- Silence or turn off mobile devices during sessions.
- Filming yourself is only allowed if approved by the instructor during each class. Their permission is case by case basis and not a blanket approval for every time you are in class. The phone/camera has to be placed in a spot that is not disruptive to class and where no one else (no part of them) is in the frame. If this cannot be accomplished, you are not permitted to film.
- Respect instructors, staff, and fellow clients at all times.
- Disruptive behavior may result in removal from class without refund.
8. Memberships, Packages & Expiration
- Class packages and monthly memberships are non-transferable and non-refundable unless otherwise stated.
- You acknowledge that the Studio will pull payment monthly for the membership that you signed up for.
- Sessions must be used within their designated expiration period.
- Unused sessions may not be refunded.
9. Health, Safety & Assumption of Risk
- Pilates involves physical activity that carries inherent risks.
- By participating, you acknowledge and voluntarily assume all risks associated with exercise.
- You affirm that you are physically able to participate and have consulted a physician if needed.
10. Liability Waiver & Release
To the fullest extent permitted by law, you agree to release and hold harmless Everyday Pilates, LLC, its owners, instructors, and staff from any claims arising from participation in Studio activities, including injury, illness, or property loss. Participation is not allowed unless you have signed the waiver.
- The Studio may occasionally take photos or videos for marketing purposes.
- You may opt out of being photographed by notifying the Studio in writing.
12. Policy Updates
- Studio policies are subject to change.
- The most current version will always be available on our website.
- Continued attendance constitutes acceptance of updated policies.
13. Governing Law
This Agreement shall be governed by the laws of the state of Minnesota and the city of Prior Lake.
